Position Details
Reporting to the Manager of Finance and Administration, the Purchasing Clerk is responsible for performing a wide variety of procurement duties and assisting with account reconciliation functions. The primary functions of the position include the procurement of goods and services for the organization and its employees, and working closely with the Finance team to ensure timely and accurate delivery of service.
- Performs daily purchasing based on employee requests and to maintain stock levels.
- Obtains and assesses competitive vendor quotations, provides product options as required, processes requisitions and prepares purchase orders for authorization and ensures all required details are provided to places order(s).
- Receives all goods (physically and in the accounting system) in a timely manner and ensures that items received match the requisition/purchase order. Matches requisitions, purchase orders, packing slips, invoices, and forwards the complete package to accounts payable for processing.
- Distributes supplies to individuals on receipt of approved requisition, in coordination with APSEA’s Shipping Clerk.
- Maintains current and accurate supplier account information within the accounting system and in email/databases.
- Ensures timely receipt of goods so as not to hinder operations.
- Reviews applicable monthly account statements (e.g., postage, photocopiers) or confers with Accounts Payable to ensure appropriateness of charges and perform reconciliations as required.
- Works collaboratively with all members of the Finance team to facilitate effective communication and transfer of information/knowledge on a constant basis.
- Provides on-going operational support and technical advice in the area of purchasing and asset control.

Requirements:
- Completion of High School/GED Certificate is required.
- Minimum of three (3) years experience in a purchasing and inventory control role.
- Proven experience in using several known procurement principles to secure the best possible prices. (e.g., consolidating major purchases to obtain the lowest possible price by leverage).
- Expert knowledge in accounting software (SAP), Microsoft 365 (Word, Excel etc.), and email
- Exceptional interpersonal and communication skills.
- Strong work ethic and positive team attitude.
- Exceptional organizational skills, attention to detail, and ability to maintain accurate records.
- Strong problem-solving and time management skills are required to ensure work can be completed effectively and in a timely manner to optimize operations.
- French language and/or American Sign Language (ASL) proficiency is an asset.
