The Human Resources department of the International Office (IO) is responsible for all aspects of Human Resources Management in the organization, such as Recruitment, Contracts Management & Entitlements, Performance Appraisal, Learning & Development, Employee Wellbeing and Safeguarding. The IO Human Resources Department plays a strategic role in the overall success of the organization, by administering person-centered human resources management, in line with the mission and vision of the organization and international humanitarian standards, and by ensuring the overall wellbeing of its employees.
Your Role
Under the guidance and supervision of the HR International Director, the HR Officer is responsible for the delivery of day-to-day HR services to all departments. More specifically, the incumbent will be responsible for:
Recruitment:
- Coordinate & lead the International Office processes for Recruitment & Selection, by ensuring timely follow-up to recruitment requests (review of job vacancies, managing pre-selection and interviewing activities, (written or other) test administration, timely follow-up with candidates and hiring managers, formalizing job offers).
- Coordinate new staff induction/on-boarding programs, in collaboration with other departments.
- Organize and coordinate the internships, volunteer and young professional programmes, fostering partnerships with universities and other institutions.
- Manage the careers page as well as related social network.
- Monitor and supervise the work of the HR Assistant, who support these processes.
Contract Management & Entitlements:
- Administer all employment (staff, consultants, volunteers and interns) contracts and provide timely follow-up to managers regarding contract expiration.
- Research and provide advice and technical expertise to staff and supervisors on contracts and entitlements, travel and social security benefits.
- Liaise with labour consultants for contract and payroll management.
Policy Development:
- Review and update existing policies and guidelines reflecting on opportunities for optimizing operational and business processes in close collaboration with the HR Team,
- Foster relationships with the head of departments, making sure that IO Policies and best practices are continuously implemented.
- Prepare training sessions and capacity building activities for staff and supervisors.
- Keep abreast of developments in various areas of human resources management as well as important developments within the applicable CCNL.
Performance Management:
- Provide advice to supervisors and staff in understanding the performance management cycle and evaluation criteria.
- Ensure the performance management process is effectively and timely concluded every year for International Office staff (on regular contracts).
- With the oversight of the HR International Director, organize professional development activities, internal coaching, or mentoring activities for IO staff.
Others:
- Define, plan, develop and support with the logistical aspects of the corporate events (e.g. Staff Retreat, Gita), as well as monitor and evaluate the success of these initiatives.
- In collaboration with the HR Specialist and the HR Officer – Field Support, define, plan, develop and support with the logistical aspects of the corporate events (e.g. HR Global Meeting), as well as monitor and evaluate the results of these initiatives.
- Support and provide assistance with the successful implementation of the Global Systems, such as the HR module of the Information Management System (IMS).
- Other duties may be requested.
Qualifications and Requirements
- A university degree in Human Resources or related field (organizational development; business administration, etc.) or a specific training, qualification or certification in human resources management.
- At least 5 years of relevant professional experience.
- Prior experience with a Non-Governmental Organization (NGO) and/or prior experience with a faith-based organization is highly desirable.
- Strong knowledge of Italian labor law.
- Fluent in English and Italian. Working knowledge of French or Spanish is considered an asset.
